Banners & Signs for Events: Sizes, Materials & Setup
Great event signage does two jobs: it's readable from across the room and it survives handling, wind and repeated setups. Here's how to spec banners and signs that do both.
Match the material to the environment
- Indoor / trade show: smooth vinyl or retractable roll-up banners give a clean, wrinkle-resistant finish.
- Outdoor: heavier 13oz+ scrim vinyl with reinforced hems and grommets handles wind and weather.
- Reusable displays: retractable stands travel in a case and set up in seconds — ideal for recurring events.
Get the size right
Common retractable banners are 33" and 47" wide. For hanging banners, size to the space and viewing distance: the farther the audience, the larger the text. A good rule of thumb is roughly 1" of letter height per 10 feet of viewing distance.
Design for distance
Lead with one headline, one visual, and your logo. Keep body copy short. High contrast between text and background is what makes a banner legible from across a hall. Set artwork in CMYK and include bleed so trimming and hemming never cut into your design.
Finishing options that matter
Grommets for hanging, pole pockets for hanging bars, and welded hems for durability. Tell your printer where the banner will hang so the finishing matches the mounting.
Plan your setup
Bring zip ties, bungee cords, or a banner stand. For outdoor placement, wind slits or mesh material reduce sail effect on large pieces.
